Prerequisite Software & Configuration

  • You must be the administrator of a Neto eCommerce store to fetch data.
  • Microsoft Excel must be installed for you to use this editor.
  • The Bulk Editor must be configured with data from your Neto store using your Neto API key.

Prerequisite Knowledge

  • An understanding of sales and eCommerce concepts is required to use this product.
  • Knowing how to use Microsoft Excel will be an advantage.

Welcome Tab

This is the starting point for using the editor. To jump to a section, click on the big blue navigation buttons. You can also navigate by clicking on the tabs at the bottom of the Excel window.

The first time you run the bulk editor, you will be presented with the license dialog. Copy and paste your product license key into the text box, or else click ‘Get trial key’ to obtain a free 30 day trial license key. Then click ‘Activate’.

The first time you run the app, you will see the ‘Connect to your store’ dialog. You have two options here:

  • You can choose to connect with our Gapwise demo store, which is a safe way for you to try out the features without any risk of changing your own store data. This is selected by default, but any time you want to change to the demo store, just click ‘Use Gapwise Demo Store’.
  • You can connect directly to your Neto store. To do this, paste in the web address of your Neto store, and the Neto API key (which you can find in Neto under Settings > Developer Tools > API Settings). You may also need to provide a Neto API Username if it is configured in your Neto Developer settings.

Click ‘Test connection’ to see if the details you entered are valid. Click OK to save the connection details.

Product Editor

This tab lets you edit details of individual products, including their prices and whether they are visible on the web store. Initially you will see a preview of the first 20 products from Neto.

To fetch the remaining rows, click ‘Fetch all rows’ or ‘Fetch Remainder’. Depending on how many products you have, this could take seconds or it could take several minutes.

To reduce the number of products fetched so you can just work on the ones which you want to edit, click the magnifying glass icon on the top left. This opens the search panel, which will let you add search criteria to reduce the number of rows. Click the filter icon to add or edit the search terms.

You can add as many or as few search values as you like. Once finished, click ‘OK’.

This will trigger a fresh preview of the products, and if you like what you see, then you can fetch all of them by clicking ‘Load all’.

You are also able to change the columns which are visible, by clicking ‘Add columns’. This opens a windows with a list of available columns. To add a new column, select a column on the right, and click the left arrow, which will move it onto the ‘selected columns list’. You can hide visible columns by selecting an item on the right, and clicking the left arrow. Click ‘OK’ to continue.

You can edit as many or as few products as you like, and you even have the option of copying and pasting all of them into other spreadsheets to apply Excel formulas if you want.

Once you have made all the changes you want, click ‘Save to Neto’. This will highlight all of the cells which you have just changed, and ask you to confirm that you are happy with your changes. Clicking ‘Confirm Save’ will save the changes to your Neto web store. If you notice any errors, you can click ‘Cancel Save’ at this point, and no changes will be made to Neto.

The Restore button lets you go back to an old version of your changes for a set of products. Backups which are automatically made every time you save changes to Neto. This means you can undo changes if you later realise you made an error. You will see a list of backups files, with a brief description of what changes were made in that version.

Selecting a backup and clicking ‘Open’ will load the backup into Excel, but it will not change anything in Neto until you review the changes and click ‘Save to Neto’. The search filters and visible columns associated with the backup will also be restored.

WARNING
You should be aware that the backup and restore feature must be used correctly to avoid losing product data in Neto. If your products are updated frequently in Neto, and you load an old or dated backup, then it is possible you could overwrite newer changes in Neto. If you try to load an old backup, you will be warned about this risk before any changes are saved to Neto.

Stock Levels

This tab lets you edit the stock levels in each of your warehouses. Initially you will see a preview of the first 20 stock levels from Neto.

To fetch the remaining rows, click ‘Fetch all rows’ or ‘Fetch Remainder’. Depending on how many products you have, this could take seconds or it could take several minutes.

Settings

This section lets you edit the Neto Bulk Editor settings.

  • The Neto URL, API Key , and API username you should already be familiar with (see Welcome tab).
  • Auto fetch from Neto: this setting will automatically fetch a preview of the rows in Neto every time you open the app, change a search filter, or change the visible columns.
  • Max rows to fetch: the maximum number of rows that will be fetched at one time from Neto. Increasing this setting is not recommended, because if your store has a large number of products, it’s easier and faster if you add more search filters to reduce the number of rows that are being returned.
  • Max backups to keep: the number of backups files the Neto Bulk Editor will keep of your changes. Once you exceed this number, it will start deleting the oldest backups files.
  • Dangerous changes warning: This is designed to prevent you from making accidental mistakes. If you edit more than the specified percentage of cells in the grid at the same time and try to save to Neto, then you will see a warning that this could be potentially dangerous.
  • Stale data warning: If you try to save changes to Neto, and the data you are working on is older than the specified number of minutes, then you will be warned that your data is out of date and you risk overwriting newer changes in Neto. You can increase or decrease this setting depending on how often products in your store get updated.
